With oversight and direction from the Program Director(s), the Program Coordinator is responsible for the operational functions of the accredited GME training programs. The position requires a comprehensive and detailed understanding of the national accreditation policies and hospital policies, as well as a high degree of initiative and independent judgment. The Program Coordinator should be organized in planning, assisting with maintaining continuing accreditation, recruiting of trainees, projects, analyzing and maintaining databases, communicating with faculty and trainees regarding a range of issues and managing internal and external program relations. Should have working knowledge of Microsoft Word, Excel, Powerpoint and GME databases.


Coordinator GME responsibilities include:

coordination of required Clerkships and Elective Rotations: Assist the medical schools and students with the assignment of medical students to their clerkships and elective rotations, working with hospital departments and medical staff and the medical school to oversee the available opportunities for all students.


Related activities include:

  • Student orientation and infection control orientation.
  • Coordination of security registration, hospital access and electronic medical record system access. 
  • Integrated coordination with the medical resident training program and other training programs in their respective specialties.
  • Coordination with preceptors, medical staff office and the Director of Medical Education and hospital administration.
  • serving as the primary administrative contact for medical students during their rotations.
  • ensuring timely completion of medical students' evaluations by their preceptors.
  • Enhancing Student Experiences: Assess the experiences of medical students during their rotations, identifying areas for improvement to enrich the learning environment.
  • Monitor and address compliance* with regulations from affiliated medical schools and other relevant regulatory bodies, including keeping accurate records of student assignments, evaluations, and experiences, and providing required reports.

*Note: This is a shared responsibility with the medical school and the hospital administration.

  • Communication with Medical School Deans: Serve as the point of contact between St Mary's - Saint Clare's and the medical school. Attend relevant orientation sessions and meetings scheduled by the medical school.
  • Additional GME Education tasks as requested by the Director of Medical Education or as needed.



Education and Work Experience


1. Minimum of 3 – 5 years of Graduate Medical Education (GME) experience.
2. ACGME experience required.
3. TAGME certification preferred.
4. Experience with New Innovations
5. ERAS preferred.
