Responsibilities

The Executive Assistant is responsible for the day-to-day operations of the department on a routine basis. This role supports the Hospital Administrator/CEO, Chief Medical Officer (CMO), and Director of Communications, working closely with administrative team members and department heads to ensure alignment with the hospital’s goals and objectives. The Executive Assistant must communicate effectively—verbally, in writing, and via telephone—with all levels of personnel and visitors, and must be proficient in inputting and retrieving computerized data. This position also includes contract coordination and position compensation coordination responsibilities.


Key Responsibilities:

  • Provide comprehensive administrative support to the executive leadership team.
  • Coordinate and manage departmental schedules, meetings, and communications with flexibility and professionalism.
  • Serve as a liaison between departments, fostering collaboration and compromise in decision-making processes.
  • Assist with contract preparation, tracking, and coordination, ensuring timely execution and compliance.
  • Support position compensation coordination by maintaining accurate records and assisting with documentation.
  • Input, retrieve, and manage data using hospital systems and software with a high level of accuracy.
  • Draft, edit, and distribute internal and external communications, ensuring clarity and alignment with organizational messaging.
  • Maintain confidentiality and discretion in handling sensitive information and executive-level communications.
  • Represent the department with a polished, calm, and professional demeanor in all interactions.
  • Embrace change and adapt quickly to shifting priorities in a fast-paced healthcare environment.
  • Demonstrate initiative and self-direction while aligning with team and organizational goals.
  • Uphold professional business attire and conduct at all times.

Qualifications

EDUCATION, EXPERIENCE, TRAINING

  1. Starting January 2013, all new hires require High School Diploma or Equivalent; college degree preferred.
  2. A minimum of 3 years experience in a hospital administration environment.
  3. Proficient with computer software (MS Office: Word, Excel, Power-Point, etc.)

Saint Joseph Medical Center - Joliet offers competitive compensation and a comprehensive benefits package that provides employees the flexibility to tailor benefits according to their individual needs. Our Total Rewards package includes, but is not limited to, paid time off, a 401K retirement plan, medical, dental, and vision coverage, tuition reimbursement, and many more voluntary benefit options. A reasonable compensation estimate for this role, which includes estimated wages, benefits, and other forms of compensation, is $62,400 to $90,376 on an annualized basis. The exact starting compensation to be offered will be determined at the time of selecting an applicant for hire, in which a wide range of factors will be considered, including but not limited to, skillset, years of applicable experience, education, credentials and licensure.
