The Unit Secretary is directly accountable to the CSU Program Manager, and indirectly to the Charge Nurse. The Unit Secretary is an unlicensed person who performs indirect care in the department setting. Facilitates the communication needs of the department. Transcribes physician orders from records (in the absence of CPOE and EMR clinical documentation system) with notation and signature by nursing staff. Prepares and compiles records on the Crisis Stabilization Unit. Orders supplies for the unit, prepares and completes each patient's chart for necessary forms needed on a daily basis. Able to assist nursing staff for duties involving indirect patient care.


  • Uses two patient identifiers when re-banding a patient or posting lab results on a chart to ensure correct information. Demonstrates awareness of importance of accurate patient identification at all times.
  • Does not use unacceptable abbreviations; alerts physicians and staff when transcribing orders.
  • Notifies the Bio-Med department for nonfunctioning equipment in a timely manner.
  • Orders supplies in cost effective manner as needed and assists with restocking. Keeps accurate inventory of unit supplies.
  • Checks for completeness and accuracy of patient record and correct order of documents within the record.
  • Maintains completeness of the patient chart for admission, transfer and discharge, medication reconciliation form as needed.
  • Monitors patient charts to insure hospital and regulatory requirements are met.
  • Maintains admission, discharge and transfer log book and Behavioral Health staff daily patient assignments.
  • Practices telephone etiquette when placing and answering calls for physicians, patient/families and other departments and communicates messages timely to the appropriate person/department.
  • Avoids and prevents injury to self and patients by applying the principle of body mechanics. Maintains a safe environment, functioning with an awareness and application of safety issues identified within the unit facility.
  • Ensures crash cart is immediately restocked with the appropriate items after each code; Notifies Charge RN of any issue with timely restocking by appropriate personnel.
  • Attends scheduled in-service and mandatory in-service. Communicates ideas to supervisor for a safer layout of equipment, tools, and/or processes.
  • Follows standard precautions and transmission based precautions.
  • Adheres to procedure for proper disposal of medical sharps, pharmaceutical and medical waste per hospital policy.
  • Is knowledgeable in the hospital safety program and takes necessary steps to maintain a safe environment. Adheres to safe work practices in order to prevent injuries and illnesses.
  • Is familiar with emergency codes and emergency preparedness procedures and understands his/her role in response to each of the emergency codes




1. High School Diploma or Equivalent or relevant experience required for all new hires, effective April 2014.
2. Medical terminology preferred.
3. Current BLS (AHA) certificate upon hire and maintain current.
4. Behavioral Violence Prevention (BVP) within 6 months of hire and maintain current.
5. Working knowledge of the continuum of care for Behavioral Health preferred.
6. Patient Rights Education/Competency within 60 days of hire and maintain current as deemed necessary.
7. Two years experience using computers for word processing, database management and spreadsheets preferred; (Microsoft Office, Word, Outlook & Excel preferred).
